Board and Committee Descriptions

 

 

 

Board Positons:

President

The President shall be the chief executive officer of the Fund.  The President shall:

▪preside over all monthly board meetings and the annual meeting of the Fund,

▪in general, supervise and control all of the business and affairs of the Fund,

▪be responsible for reporting to the Foundation, as required, on the activities and operation of the Fund,

▪attend meetings of the SRVEF Affiliates and report back to the board where necessary,

▪be a co-signer on all authorizations for payment with the Treasurer

▪report to PTA Association meetings on activities of the Fund

 

Vice-President:

 The Vice-President shall:

▪in the absence of the President, or in event of his/her inability or refusal to act, perform the duties of the President, and when so acting, shall have all the powers of and be subject to all the restrictions of the President.

▪perform such other duties from time to time as may be assigned to him/her by the President or the Board of Directors.

▪be a co-signer on all authorizations for payment with the Treasurer

▪Oversee the Special events committees related to events put on by the Live Oak Ed Fund, Poker Night, Gala, Auction, and Read-A-Thon

 

Treasurer

The Treasurer shall:

▪have charge and custody of, and be responsible for, all incoming and outgoing funds and securities of the Fund,

▪be responsible for providing the Foundation with all financial and accounting data required of the Fund.

▪be responsible for inputting and managing the Quickbooks electronic accounts

▪Prepare all authorizations for payment and forward to the President, Vice President, or Secretary for co-signature

▪Present a treasurers report at every meeting of the Fund and at other times when requested by the Fund

▪work with the Tax Advisor to preparation and

 

 

Financial Secretary

The Financial Secretary shall:

▪work with the Treasurer to ensure monthly statements are accurate, signing all reconciliation reports

▪receive copies of monthly bank and account statements, mailed directly from the bank, for review, performing all offline activites

▪sign the annual audit of the Fund and provide the signed copy to the Secretary for the permanent record

▪deposit all cash and checks received from events to the bank and provide deposit slip to the Treasurer for recording

▪Keep such permanent books of account and records as shall be sufficient to establish the items of gross income, receipts and disbursements of the Fund, including specifically the number of members and the donations collected from the members.

▪Prepare all authorizations for payment and forward to the President, Vice President, or Secretary for co-signature

 

Secretary 

The Secretary shall:

▪keep the minutes of the annual meeting and meetings of the Board of Directors,

▪see that all notices are duly given in accordance with the provisions of the Bylaws,

▪be a co-signer on all authorizations for payment with the Treasurer

▪be custodian of the Fund's records, and

▪in general perform all duties incident to the office of Secretary.

 

 

Committee Chairs:

 

Communication:

  • Responsible for all messaging around the Live Oak Ed Fund and it events
  • Updating of social media, Facebook, Twitter, etc
  • Alignment with other school organizations to align messaging and timing

 

Gala:

  • Act as the lead for yearly gala activities
  • Includes; theme, location, food, program and other related items

Auction:

  • Act as the lead for the Online and Live Auction
  • Includes organization of timelines, coordination of donations, sponsorships.

 

Read-A-Thon

  • Manage the spring fundraiser
  • Coordinate the timelines for event, make packets for teachers, distribute forms, determine class/grade prizes, and inject any other new ideas.

 

Poker:

  • Be the end-to-end owner of the Poker event
  • Includes venue selection, vendors, timelines, pricing, etc
  • Ensure everyone has a great time

 

The Corporate Match Chair(s):

▪be the administrative arm between companies that match donations made by Live Oak parents

▪complete all paperwork to confirm matching fund requests and track responses

▪confirm with Live Oak parents when matching fund donations have been received by the Fund

▪Work with Communication chair to communicate frequently to the Live Oak community the option for matching funds not only at registration but throughout the year

▪prepare paperwork for registration, and work registration walk-through

▪work from home throughout the year to communicate with companies and parents that are involved with matching funds

▪report to the Board as and when requested

▪attend meetings of the SRVEF Affiliates when discussions center around matching funds
